1 Governance & Ownership

We have a named person or role responsible for AI use across the organization. Leadership has formally approved how AI may and may not be used. We review our AI practices on a set schedule (at least annually).

2 Acceptable Use & Data Protection

We have a written AI Acceptable Use Policy that staff have seen. Staff know which data (client, patient, financial, privileged) must never be entered into public AI tools. We have rules for AI-generated content being reviewed before it goes to a client or the public.

3 Staff Training & Awareness

Our staff have received formal training on responsible AI use. We can produce certificates or records proving that training happened. New hires are trained on our AI rules during onboarding.

4 Tools & Vendor Management

We maintain a list of the AI tools approved for use in our organization. We have checked whether our AI vendors keep or train on our data. Staff need approval before adopting a new AI tool for work.

5 Risk, Compliance & Documentation

If a client or auditor asked, we could produce our AI policy and training records today. We have a way for staff to report an AI-related mistake or concern. Our AI practices are documented in one place we could hand over on request.
